How to best optimise your office space for productivity

Having a mess of items around will not help you focus, nor will it help you find what you need, especially when you need a specific document right away. De-cluttering should be a weekly habit, if not almost daily. Whenever you see a mess start to pile you need to re-evaluate your habits and start organising your files. It includes both your physical office space and the desktop on your work computer.

The layout

The layout of your office space can have a big effect on your productivity and motivation to get tasks done on time. There are two options here: open versus closed layouts. Is your office filled with cubicles, or do you work in an open-space concept where everyone can easily communicate with one another? There are pros and cons to both of these options, as although cubicles eliminate chatter, it can also increase discontent among employees. The best option must be chosen based on the company culture, and how its employees work best. Still, it would be beneficial to have a mix of the two layouts in the office. After all, isolation from one another, while sometimes may be needed when there is a looming deadline, is not everyone’s preferred layout. An open space concept can help with creativity and the passing around of ideas; the same way cubicles can also help with concentration when that deadline is approaching fast.

Using the right equipment

Using the right office equipment will further improve productivity. Think about every single piece of equipment that you require for your work. For instance, what is your chair like? If your chair distracts you because it hurts your back, it’s time to look for a solution – either ask for a new chair or buy a pillow that will help, it is important to be sitting with good posture and support. Next, what is your desk functionality like? Depending on the profession, you do not need to pay attention to your desk quite as much, but for some you do. If you are an artist or a designer, you need drawing boards which meet your professional demands. As an artist, if you cannot draw with precision and accuracy due to your desk, you will only get frustrated, and it will affect your productivity. As a result, you need to ensure you adopt the best equipment that will help you focus and perhaps even relax while working.

Now that you know how to optimise the office space for productivity, it’s time to start changing things around! It’s natural to feel distracted at certain points, especially if you have worked for long periods of time without a break. However, the look and feel of your office space have just as big of an impact on how motivated you are at work. After all, who can work with clutter or dust? The same goes for not having the appropriate office equipment. If you spend most of your time focusing on the uncomfortable chair, you haven’t accomplished anything.
