Social service organizations such as community non-profits, small local government agencies, and church organizations frequently struggle to be as effective and organized as their commercial counterparts. There are many reasons that these agencies might struggle to function well, including lack of funding, lack of motivation, and lack of community support. However, for many such organizations, the struggles they face often come down to the way they are managed and organized. In most cases, struggling non-profits and government agencies are hampered by more than one of these factors, which work together to limit the impact these important community organizations can have. Here are some of the things agencies can work on to become better organized and more efficient:

Developing a Clear Mission and Goals

Establishing a clear mission and goals provides direction and focus for the organization and helps prioritize resources and activities. Unless your organization has a clear direction, employees and volunteers will have a hard time working toward your goals. Managers and officers can help by creating a mission statement and establishing short and long-term goals during meetings. Implementing efficient systems and processes for program delivery, administration, and management can help streamline operations and maximize resources. In most cases, efficient operations are created by hiring efficient and qualified leadership to oversee the organization. In some agencies, bureaucracy, red tape, paperwork, and restrictions make efficiency difficult. Implementing position control is one way to create more efficient operations, as are decreasing the amount of organizational oversight and red tape that is required for mundane tasks, and creating systems that allow people to work effectively without being micromanaged.

Employee Training and Development

Investing in training and development for employees can help build the skills and knowledge necessary to effectively deliver services. Many organizations have a hard time hiring the most qualified and dedicated employees to fill their vacant positions. In many cases, this is due to a lack of funding- non-profits and government-funded agencies simply cannot afford to pay excellent employees as well as many corporations can. In other cases, a lack of leadership and organization creates an atmosphere where talented people are not utilized well. 

Effective Management and Leadership

Strong leadership and management are critical in ensuring the organization run smoothly and that decisions are made in a timely and effective manner. Non-profit organizations and small local governments often find it difficult to find effective managers and leaders because of a lack of funding. However, many non-profits have found that by setting aside the money to hire excellent leadership, they save money in other areas and are more effective overall.

Financial Stability

Ensuring financial stability through effective budgeting, fundraising, and resource allocation is essential for the organization’s long-term success. Many organizations are funded through a combination of donations, charitable pledges, and government grants. This means that, in many cases, funding is unpredictable. Effective leadership and careful budgeting can help small non-profits and government agencies stay functioning through lean times. Finding qualified and talented people for grant writing and fundraising efforts is important.

Communication and Collaboration

Encouraging open communication and collaboration among staff, stakeholders, and community partners can help improve service delivery and achieve organizational goals. This communication may take the form of monthly meetings, email newsletters, and social media updates. For donors and volunteers, annual banquets and award ceremonies are a good time to make announcements and facilitate communication.

Track Effectiveness and Impactfulness

Regularly evaluating the effectiveness of services can help identify areas for improvement and make necessary changes. Like all organizations and companies, non-profits can use analytics and data to evaluate the impact they have on the community, how many people are accessing their services, and how well they are received.

Use of Technology

Incorporating technology, such as case management software and data management systems, can help streamline operations, improve service delivery, and reduce administrative burdens. Many small non-profit organizations don’t utilize technology as well as their commercial counterparts because they have limited budgets, they don’t have the time and human resources available to implement new systems, and they don’t stay current on new developments and trends. Operators and management can learn about new systems and technology to help their organization stay current and function effectively.

Community Engagement

Engaging with the community can help build relationships, gain insights into the needs of the people, and increase support for the organization. Community engagement often takes the form of being present at community events such as health fairs, festivals, and holiday celebrations. It can also take the form of advertisements and organization-sponsored events. Community engagement allows people to learn about your organization and provide better access for those you serve.


Just like all organizations, social service non-profits can utilize metrics, organizational strategies, and efficient operations to have a greater impact. Organizations and agencies that are created to benefit the community or provide services that are otherwise unavailable are essential in many areas, and finding ways to better serve and reach the people that need them is imperative.
